The CCCI has an extensive catalog of products and services, specially designed to meet your needs and assist you in the success of your business. We invite you to review it and place your request with enough time in advance to ensure the availability of the services for the event. The requests must be addressed to Exhibitors Service Office. This office could also provide you with technical information about the facilities. If you need special services that are not included in the catalog, please do not hesitate to consult with Exhibitor Services Office. It is crucial to file any requests at least thirty (30) days before the event.

Audio Visual Information

The CCCI is the official provider for all Audio Visual equipment and services.  In some instances, equipment brought in from a 3rd party, could be subject to right-of-entry fees. If any equipment is brought in that is not available through the CCCI then no additional charges will apply. 

Cleaning & Waste Management 

CCCI is the exclusive provider for all cleaning and waste management. The CCCI’s maintenance staff will collect garbage each night after the close of the Exhibition. Should your stand require additional garbage collection (anything exceeding the container provided); please make arrangements through the CCCI.

Electrical

Electrical service is included with the both stand packages (Basic Package with and without furnishings). Exhibitors using raw space will need to order their own electricity. Should your stand include machinery or equipment that requires constant (24 hour) electricity, please contact the CCCI Exhibitor Services Office.

Any access to the CCCI’s electrical installations by outside personnel is strictly prohibited. 

Any wiring of commercial showcases cannot be hung on structures or columns and must be hidden through appropriate pipes with adequate protection. 

Features of equipment that may be used inside an exhibit must be in compliance with the following:

  • Circuit breakers used must be thermomagnetic.
  • Wiring used to feed contacts must be heavy-duty. 
  • Wiring employed to feed lamps may be heavy duty or duplex, provided it has the right caliber for the electric charge, is equipped with ballasts and does not lie on the floor.
  • Cable joints must be insulated with appropriate and suitable tape.

If any exhibit does not meet the abovementioned safety regulations, the CCCI reserves the right to unplug or remove any devices, light bulbs, lamps or spotlights etc. that may be endangering the safety of the facility and its personnel.

Exhibitors must also ensure that any staff responsible for electrical installations is registered at the National Council of Electrical Technicians and that they comply with the Technical Regulations for Electric Installations. 

Water and Drainage

The CCCI may provide water-connection and drainage services. Please contact the Exhibitor Service Office to confirm beforehand that this service can be implemented in your stand.

Fire & Safety Information 

The CCCI and exhibitors must comply with the rules and regulations of the Fire Department of Cartagena.  It is forbidden to hide, obstruct or damage the exit doors and lights, the alarm stations, the fire-hose cabinets, the extinguishers, and the strobe lights. The CCCI restricts the entry and manipulation of flammable compressed gases, helium tanks, ignitable or combustible liquids, hazardous chemicals or materials, class 2 lasers or higher, and explosive agents inside its facilities. The following items are restricted and will require prior approval and permits issued by CCCI and the Fire Department: electric or gas-operated cooking appliances; open flame tools; welding utensils and materials; cutting torches; ammunition; radioactive devises; pressure equipment; fireworks of any kind; volatile explosive agents; inflammable cryogenic gases; spray cans with flammable boosters; portable healing systems; hazardous processes or materials during exhibits.

Floor Covering 

Floor covering and/or carpet is required by CCCI.  Should you choose to have floor covering, please submit exact type and dimensions for approval in advance as some material is not permitted. It is strictly forbidden to affix any self-adhesive sheets or elements to the floors, walls, or ceilings. In order to accommodate floor coverings, the CCCI does require that all exhibitors install wooden flooring or platforms to prevent damage to CCCI’s marble or carpeted.

Furniture rental for stands both shell scheme and raw space is available Grupo Heroica.

Food & Beverage Services 

The CCCI does not allow the provision of food and beverage services, or logistical support, from external providers. 

Alcoholic-Beverage Entry Policy requires previous written authorization from the CCCI Exhibitor Services Office.  Authorizations will require a fee for rights of entry and any alcoholic beverages permitted must meet the regulations stipulated in the policy. Please note that all food and beverage functions are subject to Show Management approval. Please send your function request to Teresa Dallis at [email protected] BEFORE placing your order with CCCI.

Special note: Show Management does NOT allow any popcorn to be provided on the exhibition floor.

Height Information 

The CCCI has a unique exhibition area with varying heights and restrictions. Please view the Exhibitor Guidelines section 3.7 for limit details. All exhibitors with floor space only stands that exceed 2m height, double-decked stands, and stands with covered ceilings must submit detailed information for approval to [email protected] (Please include floor plan, dimensions, stand elevation, plan layout, electrical fittings, materials to be used and equipment to be displayed). Please note that the CCCI will also review all renderings for final approval.

Rigging: Hanging/Truss/Theatrical lighting – please contact CCCI for exhibitor services for information and arrangements.

Insurance 

Any good brought into the CCCI for exhibition MUST be insured.

Each Exhibiting Company/Entity must first provide an adequate certificate of insurance for both worker’s compensation insurance and comprehensive general liability insurance, designed and licensed to provide coverage in the applicable state/country. The worker’s compensation and employer’s liability insurance must comply with the statutory requirements of the state/Country of operation and include Employer’s Liability with Limits of $500,000/$500,000/$500,000. Comprehensive general liability coverage must provide $1,000,000 Combined Single Limit (CSL) for bodily injury and property damage coverage. All coverages must provide AAPG with a Waiver of Subrogation and all coverages, except the work comp, must show AAPG as an Additional Insured. Thirty days’ notice is required of any change in your exhibitor-appointed contractor’s insurance coverage.

You agree to and shall defend, indemnify and hold harmless AAPG, and the Centro de Convenciones Cartagena de Indias (CCCI)  and its affiliates, the Organizers of the Event and any third-parties in any way involved in the Organization of the Event and their respective Members, Officers, Directors, Agents and Employees from all costs, liabilities, claims, damages or expenses, including without limitation claims for personal and bodily injury or property damage, arising out of or associated with exhibitor’s use or occupancy of or exhibition in any part of the Convention facility, including without limitation any work done by or any act, neglect or omission of exhibitor or its employees, agents, contractors, and invitees in connection with such use, occupancy, or exhibition. 

Internet & Telecommunications 

The CCCI is the exclusive provider for all internet and telecommunication services.
